Quantum Events (“we,” “us,” “our”) operates an AI-powered event strategy platform that helps conference attendees get personalized recommendations for sessions, speakers, and networking opportunities. Our contact email is info@quantumevents.us.
2. Data We Collect
We collect only what is needed to deliver personalized event recommendations:
- Account data: Name, email address, and profile photo (via Google sign-in or provided directly).
- Profile data: Job title, company, bio, city, LinkedIn URL, website URL, and event role.
- Preferences: Goals, meeting targets, avoid list, schedule style, session and networking preferences.
- Schedule data: Generated schedule items, manual appointments, meeting requests, and availability settings.
- Rapid Fire Favorites: Optional fun-fact answers used for social matching (entirely voluntary).
- Payment data: Processed by Stripe. We store only transaction references, never card numbers.
- Usage data: Sign-in timestamps and basic audit logs for security.
3. How We Use Your Data
- Generate personalized session, speaker, and vendor recommendations.
- Build your optimized event schedule.
- Facilitate meeting requests and networking connections (only with your consent).
- Process Pro upgrades and Confirmed Connect bookings via Stripe.
- Improve our recommendation algorithms (aggregated, never individual).
We do not sell your data, use it for advertising, or share it with third parties for marketing purposes.
4. AI & Automated Processing
Our “crunch engine” uses rule-based scoring (not a large language model) to match your profile with relevant sessions, speakers, and vendors. No data is sent to external AI providers. All processing happens on our own servers. You can opt out of matching entirely via the Stealth Mode setting in your privacy preferences.
5. Consent & Legal Basis
We process your data based on your explicit consent, given during onboarding. You must check the consent box before recommendations can be generated. You may withdraw consent at any time by contacting us or deleting your account.
6. Data Sharing & Visibility
Your data is private by default. You control sharing through granular settings:
- Profile visibility: Stealth, Private, Friends, Connections Only, Event Attendees, or Public.
- AI matching: Opt-in. Your data is used for matching only if you enable it.
- Vendor recommendations: Opt-in. Vendors never see your personal data directly.
- Schedule sharing: Opt-in. You choose what to share: availability only, full schedule, or selected items.
- Meeting requests: Require mutual interaction. No one can see your details without your participation.
7. Data Retention
We retain your data for the duration of the event plus 90 days for post-event follow-up and report access. After that, personal data is automatically anonymized or deleted unless you have an active Pro subscription. You may request earlier deletion at any time.
8. Your Rights (GDPR & CCPA)
You have the right to:
- Access: Request a copy of all data we hold about you.
- Rectification: Correct any inaccurate data via your profile settings.
- Erasure: Request deletion of your account and all associated data.
- Portability: Export your data in a machine-readable format (JSON).
- Restriction: Limit how we process your data.
- Objection: Object to automated decision-making.
- Withdraw consent: At any time, without affecting prior processing.

9. Security
- All connections encrypted via HTTPS/TLS.
- Passwords are never stored (we use Google OAuth and magic link authentication).
- Database access restricted to application-level credentials only.
- Security headers enforced: CSP, X-Frame-Options, XSS protection.
- File uploads validated by type and size, stored with randomized filenames.
- Payment data handled exclusively by Stripe (PCI DSS compliant).
- Audit logging tracks all sign-in and administrative actions.
10. Cookies
We use a single functional cookie (authjs.session-token) to maintain your login session. We do not use tracking cookies, analytics cookies, or third-party advertising cookies. No cookie consent banner is required as this is a strictly necessary functional cookie under GDPR.
11. Third-Party Services
- Google OAuth: Used for sign-in. We receive your name, email, and profile photo. Google Privacy Policy

- Google Calendar: Optional read-only import. We only read event times during the conference dates to avoid scheduling conflicts.
12. Children
Quantum Events is not directed at children under 16. We do not knowingly collect data from minors. If we learn that a user is under 16, we will promptly delete their account.
13. Data Breach Notification
In the unlikely event of a data breach affecting your personal data, we will notify affected users within 72 hours via email and notify the relevant supervisory authority as required by GDPR Article 33.
14. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated via email or a prominent notice on the platform. Your continued use of the service after changes constitutes acceptance of the updated policy.
